Project Summary

For Shaunessy Home, a high-touch interior decoration boutique, the goal was to create a digital presence that was as elegant and efficient as their design work. Beyond building a beautiful portfolio site to showcase their projects, I was tasked with architecting a custom client intake and workflow automation system. The centerpiece of this project is an advanced, conversational project intake form that seamlessly integrates with a CRM and a visual project pipeline, transforming the way the business captures, qualifies, and manages new leads.

The Challenge & Opportunity

A boutique decorator’s most valuable asset is their time. The primary business challenge was to reduce the administrative burden of manually tracking new inquiries, scheduling consultations, and managing the client pipeline. Standard contact forms often lead to time-consuming back-and-forth emails. The opportunity was to create a “digital assistant” that would automate these initial steps, allowing the owner, Shaunessy, to focus exclusively on creative work and client relationships, while ensuring every potential client has a premium, professional first impression.

My Solution & Process

I engineered a complete lead management ecosystem directly within WordPress using the Fluent suite, demonstrating how powerful integrations can automate a service-based business.

  1. Conversational Intake Form: Using Fluent Forms Pro, I designed a multi-step, conditional “conversational form.” Instead of a static list of questions, it guides potential clients through a friendly, interactive discovery process, asking key qualifying questions about their project scope, style, and budget.
  2. Automated CRM Entry: Upon form submission, the system uses FluentCRM to automatically create a detailed contact profile. The contact is automatically tagged based on their form answers (e.g., “Full Home,” “Single Room,” “High Budget”), allowing for immediate segmentation.
  3. Visual Project Pipeline: Simultaneously, an integration with Fluent Boards automatically creates a new “deal” card on a Kanban-style project board. This provides Shaunessy with an at-a-glance visual of her entire pipeline—from “New Inquiry” to “Consultation Scheduled”—which she can easily manage with drag-and-drop functionality.
  4. Triggered Email Sequences: The system also triggers automated, personalized email follow-ups through FluentCRM, confirming receipt of the inquiry and providing next steps, ensuring prompt and professional communication without any manual effort.

This integrated system serves as the digital front door and administrative hub for the entire business, saving hours of work each week.
